Privacy Policy

Convene (“Convene”, “we”, “us” or “our”) provides a scheduling platform for busy professionals — doctors, politicians, business owners, founders and executives — and the Personal Assistants (PAs) who manage their calendars, including agenda tracking, multi-channel reminders and an AI scheduling assistant. This policy explains what information we collect, how we use it, who we share it with, and the choices and rights you have.
By creating an account or otherwise using Convene, you agree to the collection and use of information as described here. If you don’t agree, please don’t use the service.
1. Information we collect
Account & profile information
- Name, email address, phone number (used for WhatsApp/SMS delivery), profession, gender and date of birth (optional), and a profile photo (optional).
- Login credentials (your password is stored as a salted hash — we never store it in plain text).
- For members who add Personal Assistants: the PA’s name, email, phone and role relationship to the member.
Calendar & agenda data
- The meetings, events, appointments and visits you or your PA record — titles, descriptions, locations, times, attachments (photos, videos, reports) and outcome notes.
- Comments and discussion threads attached to an agenda item.
Billing & payment information
- Your chosen subscription plan, billing history, and — when you pay by card, UPI or netbanking through our payment gateway — payment confirmation details. We do not store your full card number or UPI PIN; that is handled directly by our payment processor (see “Third-party service providers” below).
- When paying by manual UPI transfer, the UPI transaction reference (UTR) you submit for verification.
AI assistant data
When you use Convene AI (our natural-language scheduling assistant), the text of your messages — and relevant context such as your recent agenda, team members and the current date/time, needed to carry out your request — is sent to our AI provider to generate a response. See “Third-party service providers” for details.
Usage & device information
- Log data such as IP address, browser type, device information and timestamps of activity, used for security, debugging and abuse prevention.
- Session tokens (JWTs) used to keep you signed in — see “Cookies & local storage” below.
2. How we use your information
- To provide the core service: creating and managing your agenda, account and team.
- To send reminders and notifications you’ve opted into, via in-app notifications, email, WhatsApp and/or SMS.
- To process payments, manage subscriptions, and maintain billing records required by law.
- To power Convene AI’s natural-language scheduling.
- To detect, investigate and prevent fraud, abuse and security incidents.
- To respond to support requests and communicate service updates.
- To improve the product — we may analyze aggregated, de-identified usage patterns.
We do not sell your personal data, and we do not use your agenda content for advertising.
3. Third-party service providers
We share the minimum data necessary with the following processors to operate Convene:
- Razorpay (payment gateway) — processes card, UPI and netbanking payments for subscriptions and AI-credit recharges. Razorpay receives your payment details directly and is bound by its own security and privacy standards; we receive only payment status and a transaction reference, not your raw card/bank details.
- Twilio (WhatsApp & SMS delivery) — delivers reminder and notification messages to the phone number on your profile. Twilio processes your phone number and message content solely to deliver that message.
- Anthropic (Claude API) — powers Convene AI. When you chat with the assistant, your message text and the minimal agenda/team context needed to fulfil your request are sent to Anthropic’s API to generate a reply. Anthropic processes this data to provide the API response under their own data-handling terms; we do not send your payment details or password to the AI provider.
- Email & SMTP providers — used to deliver transactional email (welcome, approvals, password resets, reminders, statements).
We only enable AI-assistant features and share data with Anthropic when the add-on is active on your account and you actively choose to use it (via the chat widget or the Convene AI hub).
4. Cookies & local storage
Convene uses your browser’s local storage (not third-party advertising cookies) to keep you signed in between visits — specifically, a signed JSON Web Token (JWT) that identifies your session. This token is required for the app to function and is cleared when you log out. We don’t use third-party tracking or advertising cookies.
5. Data retention
We retain your account and agenda data for as long as your account is active. If you delete your account, we remove or anonymize your personal data within a reasonable period, except where we’re required to retain billing records for legal, tax or accounting purposes (typically up to 7 years for financial records under Indian law).
6. Your rights
- Access — you can view your profile and agenda data directly in the app at any time.
- Correction — update your profile, agenda and preferences from Settings.
- Deletion — request deletion of your account and associated personal data by contacting us (some billing records may be retained as noted above).
- Portability — request an export of your agenda and account data in a common format (e.g. PDF reports, already available from the app, or a raw data export on request).
- Withdraw consent — disable optional features (e.g. the AI assistant, specific reminder channels) at any time from Settings.

7. Data for Personal Assistants
A Personal Assistant account is created and managed by the member they assist. A PA can see and act on that member’s agenda on their behalf; the member remains responsible for managing who has PA access to their account, and can remove a PA’s access at any time from the Team page.
8. Security
We use industry-standard measures to protect your data, including encrypted connections (HTTPS/TLS) for all traffic, salted password hashing, and role-based access controls that limit which staff can access account data and only for legitimate support/admin purposes. No method of transmission or storage is 100% secure, but we work to protect your information to the best of our ability.
9. Children’s privacy
Convene is intended for working professionals and their assistants and is not directed at children. We do not knowingly collect personal data from anyone under 18.
10. Changes to this policy
We may update this policy from time to time. If we make material changes, we’ll notify you by email or an in-app notice before the change takes effect. The “Effective” date above reflects the most recent update.
